Reference Data

When setting up an integration with SRS through SIPS, software partners need to begin by retrieving essential reference data. This data will serve as a foundation for subsequent interactions with the SIPS platform. The Reference Data includes critical information about product references, branches, unit of measures (UOM), and shipping methods. This data should be downloaded in batch and stored in the partner's system to ensure seamless and efficient interaction with the SIPS APIs

Purpose of the Reference Data#

The Reference Data is designed to provide software partners with the foundational information necessary to integrate their systems with SRS. By downloading and storing this data, partners can ensure that their systems are synchronized with SRS’s data, enabling accurate and efficient processing of orders, inventory management, and other operations.

Why It Is Needed#

1.
Product References: Understanding product classifications is crucial for accurate product identification and categorization.
2.
Branches: Knowing the list of SRS branches helps in managing shipping and receiving locations for customer orders.
3.
Unit of Measures (UOM): Consistent use of units of measure ensures accurate inventory tracking and order processing.
4.
Shipping Methods: Having a predefined list of shipping methods aids in planning and managing logistics efficiently.

How It Should Be Used#

Batch Download: Retrieve the reference data in batches and store it in your system. This should be part of the initial setup process and periodically updated to ensure accuracy.
Data Synchronization: Use the reference data to synchronize your system with SRS’s classifications, branches, UOMs, and shipping methods.
Integration: Incorporate the reference data into your workflows when calling other SIPS APIs to ensure consistency and accuracy in your operations.
note-icon3.pngImportant Points to Note:
Regular Updates: Periodically update the reference data to reflect any changes or additions made by SRS.
Data Storage: Ensure the data is stored securely and efficiently within your system.
Error Handling: Implement robust error handling to manage any discrepancies or issues that may arise during data retrieval.

Product References#

The Product References data includes all product reference codes and their corresponding descriptions from SRS. This data is essential for understanding the classification of products, which is critical for accurate product identification and categorization. By having access to product major and minor codes as well as supplier codes, partners can ensure their systems correctly classify and manage products according to SRS's standards.

Branches#

The Branches data provides a list of SRS branches for each ship-to location that a customer has set up with SRS. Each customer can have multiple ship-to locations, and each location can be serviced by multiple SRS branches. This data helps partners understand the structure of ship-to locations and their associated branches, which is crucial for managing shipping and receiving operations efficiently.
Ship-to Location: A specific address where products are shipped.
Branch: A SRS branch that services the ship-to location.
The relationship between ship-to locations and branches ensures that orders are routed and fulfilled accurately according to the customer's geographic and logistical needs.

Unit of Measures (UOM)#

The Unit of Measures data lists all global product units of measure (UOM) that are offered by SRS. This information is essential for maintaining consistent and accurate inventory tracking and order processing. By using standardized units of measure, partners can ensure that quantities are managed correctly, avoiding discrepancies and improving operational efficiency.

Shipping Methods#

The Shipping Methods data lists all shipping methods offered by SRS. This information is critical for planning and managing logistics efficiently. By knowing the available shipping methods, partners can make informed decisions about how products will be delivered to customers, optimizing delivery times and costs.
By utilizing this Reference Data, software partners can ensure their systems are well-prepared for seamless interaction with the SIPS platform, enabling accurate and efficient operations from the very start.
